Privacy Policy
MarkupProof is construction estimating software operated by Farris Wheel Ventures LLC ("we", "us"). This policy explains what we collect, why, and who else sees it. It covers markupproof.com and its demo booking and contact forms, our text-message program, the MarkupProof application, and the proposal pages we host on your behalf.
Who our users are
Our customers are contractors. Most of the personal information we hold is not about our own users — it is information about their clients that they enter to produce an estimate. We process that information on the contractor's behalf and at their direction.
What we collect
- Account information — name, email, company name, and the trade and location details entered during onboarding.
- Estimate content — job descriptions, addresses, line items and pricing, and any client name or contact details you enter.
- Files you upload — job photos, plan PDFs and other documents attached to an estimate.
- Voice recordings and transcripts — audio you record in the app for dictation or a job walk, and the text produced from it.
- Connected-account data — information we read from services you choose to connect, described below.
- Technical data — log and diagnostic information, including error reports, used to keep the service working.
- How you found us — the ad, post or website that brought you to sign up, described below.
- Consent records — your answer on the AI permission screen, and your answer about who will be heard when you start a recording. Each one notes who answered, the answer, which version of the wording was shown, the device, and when. You can change your AI answer any time in Account → AI permission. AI answers are deleted with your login and personal details when you delete your account. Recording answers belong to your company's account and are deleted with its data.
On markupproof.com
If you book a demo or send us a message on markupproof.com, we collect what you type into the form:
- Your name, email address and phone number
- Your company name
- On the demo booking form: whether you use JobTread, roughly how many estimates you write a month, and the date and time you picked, so we can both be on the call
- On the contact form: your message
We use it to schedule the demo, send you its confirmation and reminders, answer your message, and follow up afterwards about MarkupProof. You do not have to give a phone number — email alone is fine. Our server also sees your IP address, which we use to stop the forms being abused. The markupproof.com marketing site uses Google Analytics to count visits, does not use advertising, and does not sell data. We do not run advertising trackers on markupproof.com's pages, and we do not buy or append data about you from anyone else. The one place we use an advertising tracker is our sign-up page, described below.
How you found us
When you arrive at the MarkupProof app from an ad, a post or another website, we note how you got there: the page of ours you landed on, the campaign tags in the link (such as utm_source), the click identifier an ad network adds to its ad links (such as Meta's fbclid or Google's gclid), and the page you came from — its address only, without anything after the "?". This is kept in your browser and expires after 30 days. If you create an account, we save it with your company's account and add the campaign tags and click identifiers to our sales list, so we can tell which ads and posts bring in customers. It is deleted when your company's account is closed and deleted.
Advertising on our sign-up page
To see which of our Facebook and Instagram ads lead to sign-ups, our sign-up page runs the Meta Pixel, code provided by Meta Platforms, Inc.
- What Meta receives. When the sign-up page opens, and again when you create an account, your browser tells Meta. Like any web request, that carries your IP address, your browser details, the page address and the page you came from, along with Meta's own cookie. Meta may use these to connect the visit to a Facebook or Instagram account.
- What it does not receive. We do not send Meta your name, email address, phone number, company name or anything else you type into the form. The pixel runs only on the sign-up page — not in the app once you are signed in, and never on the proposal pages we host for contractors and their clients.
- How Meta uses it. To report our ad results to us, to decide who sees our ads, and as described in Meta's privacy policy.
- Your choices. An ad blocker, or a browser that blocks trackers, can stop the pixel, and you can still sign up. If you have a Facebook or Instagram account, Meta lets you review and disconnect what websites share with it: see Your activity off Meta technologies.
Text messages (SMS)
If you give us your mobile number and tick the consent box on the demo booking form, we may text you about your demo — a confirmation, a reminder before the call, and a short follow-up afterwards. Message frequency varies, and is typically a handful of messages around a single booking.
- Message and data rates may apply, depending on your carrier and plan.
- Reply STOP to any message to opt out. You will get one confirmation that you have been unsubscribed, and nothing after that.
- Reply HELP for help, or email us at support@markupproof.com.
- Carriers are not liable for delayed or undelivered messages.
- Opting out of texts does not cancel your demo — we will still email you.
We do not sell or share mobile information with third parties or affiliates for marketing or promotional purposes. No mobile opt-in data is shared with anyone for their own marketing. The only parties who see your phone number are the service providers listed below, who process it on our behalf so that the messages can be sent.
Services you connect
Nothing below happens unless you connect the account yourself, and you can disconnect at any time in the app.
- QuickBooks Online. With the accounting permission you grant, we read customers and purchase/bill records to compare estimated against actual cost, and — when you enable it — we create a customer and a deposit invoice after a proposal is signed. We do not read payroll, and we do not request payments permissions.
- JobTread. We read and write jobs, budgets, documents and files in the JobTread account you connect, so your estimate and its proposal stay in sync with your job.
- Other integrations. Syncing estimates to your own CRM, and importing meeting notes, stay off unless you turn them on.
Access tokens for connected accounts are encrypted before storage. We never receive or store your password for any connected service.
Artificial intelligence
MarkupProof uses AI to draft and review estimates. It runs on two outside companies, Anthropic and OpenAI. To produce that output, we send Anthropic your chat, notes, estimate lines, photos, plans and other files, receipts, price lists and voice transcripts, plus what the chat looks up in services you connect (JobTread, your CRM, meeting notes). That can include your clients' names, addresses, phone numbers and emails. We send OpenAI your voice recordings, including anyone else heard on them, to turn them into text, with the client's name on the estimate so it is spelled right. Your content is not used to train their models under our agreements with them. AI output is a draft for you to review; see our Terms.
Who else receives data
When you create an account, we add your business name, your name, email, trade, and state, and how you found us, to our own sales list so we can follow up with you about MarkupProof. That list is separate from a CRM you connect. It does not include your estimates or your clients.
We share data with service providers who process it on our behalf, for the purposes listed:
- Anthropic — AI that reads your estimate content, receipts and price lists, and what the chat looks up in services you connect, to build and review estimates
- OpenAI — Speech-to-text for voice notes and job-walk recordings; it gets the audio and the client name on the estimate, so the name is spelled right
- Intuit (QuickBooks Online) — Accounting sync, only for accounts you connect
- JobTread — Job, budget and document sync, only for accounts you connect
- GoHighLevel / LeadConnector — Your own CRM if you turn sync on; our sales list when you create an account (business name, your name, email, trade, state, and how you found us); and the demo booking and contact forms on markupproof.com, with the emails and texts about a demo
- Google Calendar — So a booked demo lands on our calendar and is not double-booked
- Meeting-note services (Granola, Plaud, Otter.ai, Fireflies.ai, Avoma) — Meeting-note import, only from a service you connect
- Google Sign-In — Signing in with your Google account, if you choose to
- Google Maps Platform — Address lookup and job location
- Google Fonts — Serving the app's typeface
- YouTube — Videos on the Help page, embedded in YouTube's privacy-enhanced mode
- SendGrid (Twilio) — Sending proposals, invitations and notification email
- Amazon S3 / Cloudflare R2 — Storage for photos, plan PDFs and generated documents
- Cloudflare — Network delivery and protection for markupproof.com and the app
- Stripe — Subscription billing; card details go to Stripe, never to us
- Sentry — Error monitoring and diagnostics
- Railway — Hosting for the app, its database and markupproof.com
We do not sell personal information. Apart from the Meta Pixel on our sign-up page, described above, we do not share it for advertising.
Security
- All traffic is served over HTTPS.
- Third-party access tokens are encrypted at rest with AES-256-GCM.
- Each organization's data is isolated, and access requires authentication.
- Payment card details are handled by Stripe and never reach our servers.
No system is perfectly secure, and we do not claim otherwise. If you believe you have found a vulnerability, email us at support@markupproof.com.
Retention and deletion
We keep your data for as long as your account is active, because an estimating tool is only useful with your history in it. You can delete your own account in the app, under Account → Delete my account, or ask us by email; Delete your account explains each step. If others are on your company account, your login and personal details are deleted right away and your company keeps the work you did for it, including your name where its records show who did what. If you're the only one left, the company account closes too: we delete its data 30 days later and email you when it's done, and until then you can email support@markupproof.com to restore it. Three records outlive that deletion, and each is deleted 12 months after it: a minimal record of the closed company account (its ID, account number, dates, billing status and our payment processor's customer ID, with no name or contact details), our activity log with the company's free text removed, and our AI cost records (token counts and dollar amounts, with no estimate content). To export your organization's data, email support@markupproof.com. Disconnecting an integration stops any further access to that service immediately.
We keep demo enquiries and messages sent through markupproof.com while there is a live conversation and for a reasonable period afterwards, in case you come back to us. Ask us to delete yours and we will, unless we are required to keep it.
Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal information, or to object to certain processing. Contact us at support@markupproof.com and we will respond. If you are one of our customers' clients rather than an account holder, the contractor who built your estimate controls that information — we will refer your request to them and help them fulfil it.
Reply STOP to stop our texts, or use the unsubscribe link in any marketing email from us.
Children
MarkupProof is a business tool and is not directed to anyone under 18, and we do not knowingly collect information from children.
Changes
If we make a material change we will update the date at the top of this page and, where the change is significant, notify account holders directly.
